DRAFT — for your review. Not legal advice; I'm not a lawyer. This is written to be accurate to how your site actually works today. If you change your stack — add analytics, add a chat widget, add Meta Pixel for ads — this document has to change with it. A privacy policy that describes something other than what your site does is worse than none, because now it's a written misstatement.

1. WHO WE ARE
DW Event Co LLC ("DW Event Co," "we," "us," "our") is a party and event equipment rental business operating in Fort Worth, Texas and the surrounding area.
This policy explains what personal information we collect through dweventco.com, why we collect it, who we share it with, and what choices you have.

2. WHAT WE COLLECT
Information you give us
When you make a booking, we collect:
- Your name
- Your email address
- Your phone number
- The delivery address for your event
- Your event date and the items you're renting
We collect this because we cannot deliver equipment to you without it.
Payment information
We do not collect, see, or store your card number. Payments are processed by Stripe, an independent payment processor. Your card details go directly to Stripe and never touch our servers. We receive only a confirmation that payment succeeded, the amount, and a reference code.
If you pay by cash, Zelle, or Venmo, we record the amount and payment method for our tax records. We do not receive or store your bank account details.
Information collected automatically
When you visit dweventco.com, our hosting provider (Vercel) automatically logs standard technical information: your IP address, browser type, device type, the pages you visited, and the date and time. This is standard server logging and is used for security and to keep the site working.
Advertising and the Meta Pixel
We advertise on Facebook and Instagram. To measure whether those ads work, we use the Meta Pixel, a tracking tool provided by Meta Platforms, Inc.
Where the Pixel runs: on our public browsing pages only — the homepage and the products page.
Where the Pixel does not run: on our checkout page, our confirmation page, or any page where you enter or review your personal information. We do not send your name, email address, phone number, or your event's delivery address to Meta. This is a deliberate limit, not an oversight.
When the Pixel runs on a page you visit, it may share with Meta: your IP address, your browser and device information, the page you viewed, and Meta cookie identifiers that may allow Meta to recognize you if you have a Facebook or Instagram account. Meta may use this to show you our ads later, and to report to us in aggregate how our ads performed.
Meta's handling of that information is governed by Meta's Privacy Policy (https://www.facebook.com/privacy/policy) and its Cookies Policy. We do not control what Meta does with it.
To limit this: you can adjust your ad settings in your Facebook or Instagram account, use your browser's tracking protection or an ad blocker, or decline advertising cookies using the cookie banner on our Site.
We do not use any other analytics service. We do not use Google Analytics.
What we do not collect
We do not collect Social Security numbers, government ID numbers, financial account numbers, biometric data, health information, or precise device geolocation. We do not ask for information about your race, religion, health, sexual orientation, or immigration status, and we do not want it.
3. HOW WE USE YOUR INFORMATION
We use your information only to run the rental:
- To confirm your booking and send you a confirmation email
- To verify your delivery address is within our 15-mile service area
- To plan and make the delivery and retrieval
- To contact you about your rental — delivery windows, access questions, problems
- To process payment and charge amounts owed under the Rental Agreement
- To keep records required for tax and accounting purposes
- To resolve disputes and enforce our Rental Agreement
We do not use your information to build a profile of you, to make automated decisions about you, or for targeted advertising.
[DECIDE] Marketing email. If you ever want to send promotional email — a spring discount, a new-inventory announcement — you need separate, explicit opt-in consent, and this policy needs a section describing it. Right now this document says you don't do that. Don't start until it says you do.
4. GOOGLE MAPS
Our checkout uses Google Maps Platform to autocomplete your address and to measure the distance from our service origin to your delivery address. This is how we determine whether you fall within our 15-mile delivery radius.
When you use the address field, information including your address entries and your IP address is sent to Google. Your use of Google Maps features on our site is governed by Google's Privacy Policy, available at https://policies.google.com/privacy, which is incorporated into this policy by reference.
We do not use Google Maps to track your location. We use it only to check and validate the delivery address you type in.
5. WHO WE SHARE YOUR INFORMATION WITH
We do not sell your personal information. We do not share it with data brokers or list buyers, and we do not exchange your booking information — your name, email, phone number, or delivery address — with anyone for advertising purposes.
We do use the Meta Pixel for advertising on our public browsing pages, as described in Section 2. Some privacy laws treat sharing browsing data with an advertising platform broadly. We limit this deliberately: the Pixel does not run on any page where your personal information appears, and your address is never transmitted to Meta.
We share your information only with the service providers that make the booking work:

Each of these is a service provider acting on our behalf, under their own terms and privacy policies. They are not permitted to use your information for their own purposes.
We may also disclose information if we are legally required to — a subpoena, a court order, a lawful government request — or where necessary to protect our legal rights, investigate fraud, or protect someone's safety.
If DW Event Co is ever sold or merged, your information may transfer to the new owner as part of that business. We would notify you before that happened.
6. COOKIES
We use two kinds of cookies:
Essential cookies — needed for the Site to work. These keep your cart contents as you move between pages and support Stripe's fraud prevention during checkout. These cannot be turned off; without them the Site doesn't function.
Advertising cookies — set by the Meta Pixel on our homepage and products page, as described in Section 2. These are optional. You can decline them using our cookie banner, and declining will not affect your ability to browse or book.
[DECIDE — a cookie banner is not strictly required for you under Texas law, since the TDPSA exempts small businesses. It is nonetheless the honest way to run a Pixel, and Meta's own Business Tools terms require you to provide notice and obtain consent where applicable law requires it. Recommend: implement a simple decline/accept banner that gates the Pixel. Confirm and I'll include it in the build.]
7. HOW LONG WE KEEP IT
[Set to 4 years — clears the Texas sales tax records requirement with margin. Change if your accountant advises otherwise.]
- Booking records — name, email, phone, address, items, dates, payment records, and your Rental Agreement acceptance record: kept for 4 years after your event date. We need these for tax records, sales tax reporting, and to defend against disputes or chargebacks.
- Server logs — retained by our hosting provider on their standard schedule, typically a short period.
- Email correspondence — kept as long as needed to resolve the matter, then deleted on a periodic basis.
After the retention period, we delete or anonymize the information.
8. HOW WE PROTECT IT
We take reasonable measures to protect your information:
- The site runs over HTTPS; data is encrypted in transit
- Our database is access-controlled and we do not store card numbers
- The admin dashboard is password-protected
- Access is limited to the owner of DW Event Co
No system is perfectly secure, and we can't guarantee absolute security. If we ever discover a breach affecting your personal information, we will notify you and any authority required by Texas law.
9. YOUR CHOICES AND RIGHTS
You can ask us to:
- Tell you what we have about you
- Correct information that's wrong
- Delete your information, subject to records we're legally required to keep for tax purposes
- Stop emailing you anything that isn't required to complete a booking you've made
Email bookings@dweventco.com and we'll respond within a reasonable time, generally within 30 days.
A note on the Texas Data Privacy and Security Act. The TDPSA generally exempts small businesses as defined by the U.S. Small Business Administration, and DW Event Co is a small business, so most of its formal requirements don't apply to us. We're offering the rights above anyway because they're the right thing to offer.
The small business exemption does not cover the sale of sensitive personal data, which under Texas law includes precise geolocation. Your event's delivery address is exactly that kind of information. We do not sell it, share it for advertising, or transmit it to any advertising platform, and we never will.
10. CHILDREN
Our site is intended for adults booking rentals. We do not knowingly collect personal information from anyone under 13. If you believe a child has given us information, email us and we'll delete it.
11. CHANGES TO THIS POLICY
We may update this policy. When we do, we'll change the "Last updated" date at the top. Material changes will be posted on this page. Continuing to use the site after a change means you accept the updated policy.
